Summary:
The Front Desk Administrator at M&FRC will serve as visitors' initial point of contact and provide comprehensive receptionist duties, including answering phones, taking messages, and responding to email messages and virtual inquiries.
The candidate will manage all resources within the front office, lobby, and common areas, ensuring up-to-date materials are available for customer self-help and referral in support of all M&FRC programs, Beale's Welcome Center, and base and community services and special events.
This position requires providing technical assistance to users of the M&FRC customer computers and acting as the initial contact for software, hardware, and user problems related to the Quality of Life network (QoLNet) issues.
Key
Responsibilities:
Provide efficient transactional service to customers seeking assistance in the M&FRC, including assessing customer needs and referring them to self-help materials or M&FRC staff for consultation.
Receive desk-side training in Air Force Family Integrated Results and Statistical Tracking (AFFIRST) Data Management within one week of hire, for gathering customer profiles, tracking service delivery, compiling report data, and assessing service effectiveness.
Assist the M&FRC staff in providing readiness services such as transition assistance, employment assistance, relocation, financial services, family life, special needs family members, voting assistance, volunteer resources, personal readiness, and Welcome Center information.
Maintain and support the QoLNet network, ensuring network integrity, security, and authorized access.
Assess and report potential risks, report equipment outages, promote user awareness, and ensure virus-free workstations and network software.
Maintain front desk reception areas with current program updates and ensure cleanliness, organization, and proper documentation of reception area tasks in the AFFIRST system.
Assist clients with technical questions related to computer programs and other electronic equipment.
Work with base helping agencies to provide comprehensive family resource guides and provide information and referral services to clients seeking assistance with various issues.
Maintain knowledge of and connections with all base agencies and off-base community resources for customer referral.
Understand M&FRC database procedures, assist in administration tasks, conduct updates to the M&FRC public website, track customer contact, and update personal information in the AFFIRST database.
If exiting the building last, ensure the building is properly secured, including turning off lights and equipment, and securing outside doors.
Train M&FRC personnel on front desk and lobby procedures, provide briefings on front desk and M&FRC services, compose monthly/quarterly event calendars, and provide back-up support to M&FRC Consultants/Specialists for the Beale Welcome Center.
Qualifications:
Contract Appointment Clerks performing on this contact shall have at a minimum:
Competence in basic computer operations and a working knowledge of Microsoft Office programs.
A minimum of one year experience working in an Air Force M&FRC or a similar assistance agency/social service environment.
A Social Services bachelor's degree is highly desired; continuing education in Social Services would be a suitable substitute.
Professional skills appropriate to the environment of the M&FRC.
Basic understanding of military protocol, support group organizations, understanding of family systems in a military setting, ability to communicate, and work effectively with diverse groups.
Appropriate communication skills, and the ability to use and comprehend the English language including fluently speaking, writing and reading, in a professional social service environment.
Oral presentation skills highly desirable.
Excellent problem-solving and decision-making skills Ability to work independently and as part of a team.
Detail-oriented and organized.
